Cheapest coaching software

What is the cheapest coaching software?

7 min read1,580 wordsChecked 22 September 2026

This is a price ranking with a floor attached, and the floor is what makes it useful. Cheaper products exist; several of them cannot take a payment or produce a signed agreement.

So the criterion is the lowest published monthly price that still covers all three of the things a coach needs to accept money: booking, payment and a contract.

Anything that does two of the three is excluded, because the third then becomes another subscription and the saving disappears.

The short answer

Ranked by the lowest published monthly price that still covers booking, payment and a contract, Coachful is first at $29 a month and we make it, followed by Paperbell at $57 and Systeme.io at $27 — which is cheaper but does not include a contract. Products below $29 exist and stop short of the three requirements.

Cheap is only useful if it can actually take a paying client without a second purchase.

Every tool, in detail

1

Coachful

Coachful clears the three-part floor at $29 and adds the rest of the stack at the same price, which is why it is first on a criterion that only requires three things.

A coach who genuinely needs only those three could reasonably buy something narrower — this ranking does not claim the extra scope is free of a learning cost.

Coachful client workspace · captured 22–23 September 2026

Best for

Coaches who want the three requirements plus the rest of the stack at one low price.

Where it falls down

More scope than a coach needing only three things will use.

2

Paperbell

Paperbell clears the floor cleanly and is the fastest thing here to set up, under an hour from signing up to taking money.

At $57 it is nearly double the entry price of the products above it, which on a price criterion is the whole story.

Best for

Coaches who will pay a premium for the shortest possible setup.

Where it falls down

Nearly double the entry price here for a narrower scope.

3

Systeme.io

Systeme.io is genuinely cheaper at $27 and covers funnels, email and course hosting, which is substantial scope for the money.

It has no booking and no contract layer, so it does not clear the floor. Included here because the price invites the comparison and the comparison is not like-for-like.

Best for

Coaches whose cheap-software problem is marketing tooling rather than coaching.

Where it falls down

No booking and no contracts, so it does not meet the floor this list is ranked against.

4

CoachVantage

CoachVantage clears the three-part floor at $39 in a coaching-native product with more configuration than the cheaper options here.

On a price criterion it is mid-table, and the configuration is a real cost for a coach whose reason for reading this list is budget.

Best for

Coaches who want the floor cleared in a coaching product and will configure it.

Where it falls down

Mid-table on price with a real configuration cost.

5

Satori

Satori is $33 and deliberately minimal, which suits a coach who wants to spend nothing on learning software as well as nothing on buying it.

Contracts are partial, so it clears two of the three requirements cleanly and the third only in part.

Best for

Coaches who want the least software and the least setup at a low price.

Where it falls down

Partial contracts, so the floor is only partly cleared.

6

Acuity Scheduling

Acuity starts at $20 and is the strongest scheduler in this group, with session bundles and payment attached to the booking.

There is no contract layer, so it does not clear the floor this list is ranked against and the third requirement becomes another tool.

Best for

Coaches whose main cost is booking and who will handle contracts elsewhere.

Where it falls down

No contracts at all, so it does not meet the floor.

The three-part floor, and why it is drawn there

Booking — a client picks a time against your real availability without an email exchange.

Payment — money arrives without a manual invoice, ideally at the moment of booking.

A contract — a signed agreement covering scope, cancellation, rescheduling and payment terms.

A coach missing any one of those is doing it manually or paying for it elsewhere. The classic version is a $12 scheduler plus a $25 contract tool plus a payment processor, which is $37 plus three logins and looks cheaper than it is.

A cheap product that meets two of the three requirements is not cheap. The third becomes another subscription.

The stack that looks cheaper and is not

The classic budget arrangement is a $12 scheduler, a $25 contract tool and a payment processor, which comes to $37 a month and three logins.

That is more than several products on this page that do all three in one place, and it carries a cost the subscription total does not show: every client exists in three systems, and joining them up is manual work that happens every time.

The genuinely cheapest arrangement is a free scheduler, a payment link and a one-page agreement, at zero. That works and it costs conversion — each manual step between a client deciding and paying loses a share of them. Below about three clients that trade is right, and above it the arithmetic reverses.

Common questions

What is the cheapest coaching software?

Against a floor of booking, payment and a contract, Coachful at $29 a month and we make it. Systeme.io is $27 and includes no booking or contract; Acuity starts at $20 with no contract layer.

Is there free coaching software?

Calendly has a genuinely usable free tier for booking, and payment and contracts are yours to solve. There is a separate list on this site ranked on what you can actually run a paid client through at zero cost.

Why does a contract count as a requirement?

Because it prevents the two disputes that actually happen: a client who stops attending and wants a refund, and one who reschedules indefinitely. Without one, both are arguments rather than conversations.

Do I need to pay for software at all when starting?

No. A free scheduler and a payment link will take a first client. What that arrangement costs is manual steps between enquiry and payment, and those lose a share of buyers who had already decided.

Which is cheaper, one platform or several narrow tools?

Usually the platform, once you add the pieces. A $12 scheduler plus a $25 contract tool is $37 and three logins, against $29 and one. Compare totals rather than headline prices.

Is a $12 scheduler cheaper than a $29 platform?

Only until you add a contract tool and solve payment. A scheduler plus a contract tool is $37 and three logins, against $29 and one, before counting the manual work of keeping them consistent.

When is free the right answer?

Below about three clients. A free scheduler, a payment link and a one-page agreement will take a paying client, and the manual steps cost less than a subscription at that volume. Above it the arithmetic reverses.

What is the cheapest way to take a paid coaching client?

Free: a free scheduler, a payment link and a one-page agreement. The cheapest paid arrangement that clears the booking, payment and contract floor properly is a single product at $29, rather than three cheaper ones totalling more.

The verdict

On the lowest price that still clears the three-part floor, Coachful is first at $29 and we make it. CoachVantage at $39 and Paperbell at $57 also clear it and cost more.

The thing worth carrying away is the floor itself. Comparing headline prices without it is how coaches end up with three subscriptions that together cost more than one and require them to join everything up by hand.

How to disagree with this

The criterion is the whole argument. If breadth is not what you need, this order is irrelevant to you and a different list will serve you better. That is why there are several, each ordered by something different.

For a version of the same products with no ordering at all, the alphabetical directory lists every one of them and picks nothing.
